Greetings!I've been nominated to come up with the processes and procedures for conducting a physical (both IT assets and physical office assets such as furniture) for a 100 person company with 3 locations and 20 users in the field full time. We've already decided to use ConnectWise for storing the inventory results and SCCM for pulling as much data about the workstations as possible. The rule of thumb is anything greater than $100 should be tracked (so no keyboards, mice, extra power supplies).Do you have any lessons learned from your own physical inventory experience that would help me ahead of time? Such as whether trying to inventory additional cards or blades within a chassis is worth the effort compared to just tracking the chassis? Do adding bar codes to assets make life easier? Suggestions to what details to track about an asset (description, serial number, location)?. You need a way of keeping it current, or you'll be doing this dance again in short order.
Getting a current inventory is nice, but keeping it current is better.Usually this can be accomplished by having all purchasing responsibilities rest with a single person (or two) who are familiar with the inventory system. The $100 rule of thumb is a good idea as it puts purchases of mice and keyboards and whatnot into the 'office supplies' category rather than the IT category, and they can be replaced more quickly. Personally I've found barcodes to be too much of a hassle and generally use inhouse serial numbers instead (which can be printed from any standard office label maker, unlike barcodes).Have all purchasing done from a single point if possible (generally either accounting or IT), and keep the inventory up to date, or your new inventory will very quickly become unreliable. If your inventory system doesn't include an upkeep method it's not worth the time to implement it IMHO.
First and foremost, you'll need a list of every employee and how to contact them. Then you'll need some pre-exisitng records of what that employee has so when you call them, you can verify. You'll also need those pre-existing purchase records so you'll know what you should have or shouldn't have.

For example, if you know there was a purchase order for 50 laptops but when you call around there are only 15, you've got a problem my friend. As for information. You'll need to know what ever you need to A do a like for like replacement and B a serial number if it has one. Location would be helpful but not as critical as the first two. It's not about being accurate. It's about having a clue of what you might find. If you know that at some point a bulk computer purchase was made, you know what to expect.
If all that's been ordered is Lenovos and you come up short, you know that there are some missing laptops that you should be aware of.Cause if you only find 15 but there is a purchase record of 50, you're missing thousands of dollars of equipment. Now your armed with something to ask 'Hey, are these in storage or something?' And knowing what you should be counting, and an approximate order of magnitude of what to expect is useful for suggesting what you should look for and whether you've missed an entire storage closet full of stuff.Having a list of rooms and people, along with a list of the types of things to ask about is really useful. Otherwise you'll potentially miss entire buildings or departments, or you won't know to ask about that batch of iPods that were ordered for everyone in a department for some unexplained reason. Whatever you do to label the assets make sure it is durable and placed in a consistent location. It sucks to find a blank or unreadable label on something that does not have a serial number (desk, file cabinet, rack). Our labeling solution is not for everyone, but to give a full answer we use Zebra label printers with polypropylene thermal transfer labels and resin ribbons.
My place has a decent inventory system, at least for numbering. For the item number=computer number prefix it with the year. Paint marker or asset tag. Now you can quickly tell when this was bought/should be replaced. Tracking your warranties gets much easier. There are programs/bar codes readers you can get to scan serial numbers into an excel doc or what have you. Easiest to scan from the box when getting large orders.Really important to have computer nic and printer mac addresses to me.Inventory.
